Understanding Decisions
Read a leave decision in Holiday Ocean 360: what the explanation includes, the request timeline, common rejection reasons and what to do next.
Decision Explanations
Every approval or rejection in Holiday Ocean 360 includes a structured explanation so you always know why a decision was made.
What’s in an explanation
When your manager or the system makes a decision, the explanation includes:
| Field | Description |
|---|---|
| Verdict | Approved or Rejected |
| Reason summary | A human-readable sentence explaining the decision |
| Policy reference | Which policy rules were checked and their results |
| Team context | Whether team capacity influenced the decision |
Reading the Timeline
Each request has a visual timeline showing every step in chronological order:
- Submitted — when you created the request
- Policy Check — automatic compliance verification result
- Manager Review — when your manager opened the request (if applicable)
- Decision — final approval or rejection with full explanation
- Escalation — if the request was forwarded to another approver
Each timeline entry includes a timestamp and shows who (or which system) took the action.
The timeline is immutable — once an entry is recorded, it cannot be edited or deleted. This ensures a complete audit log.
Common Rejection Reasons
| Reason | What it means |
|---|---|
| Insufficient balance | You don’t have enough remaining days for this leave type |
| Team capacity | Too many team members are already off during the requested dates |
| Policy conflict | The request violates a configured rule (e.g., minimum notice period, maximum consecutive days) |
| Probation | You are still inside your probation period and the policy disallows this leave type during probation |
What to do if rejected
You can always submit a new request with different dates. If you believe the rejection was made in error, contact your HR administrator for clarification.
Check the Team context section in the decision explanation — if capacity was the issue, try dates when fewer team members are off.
