Reviewing a draft
Click any draft row to open the edit dialog. You can change:
- The amount (override the policy’s calculated value)
- The reason (free-text override — visible to the employee)
- The status (finalize or dismiss)
Every change is logged with the timestamp and your user ID.
Bulk finalize
For end-of-month payroll, use the bulk action:
- Filter to
Status: Draftand the desired date range - Click
Select all - Click
Finalize selected - Confirm
The system writes one audit entry per deduction with a shared batch ID so you can trace which payroll cycle finalized which lines.
Manual deductions
You can also add deductions outside attendance — advances, equipment damage, etc.
- Click
+ Add Manual Deduction - Pick the employee and date
- Enter amount and reason
- Save as draft, then finalize when ready
Salary visibility
Deductions only appear in the employee’s salary view once finalized. Drafts are HR-only.
Use the Filter by employee field to give individuals a heads-up before finalizing — easier than handling disputes after payroll runs.
