Policy Assignments
Assign a leave policy straight to an employee in Holiday Ocean 360 for a personal entitlement: how assignments work, rules, effective entitlements.
Policy Assignments
Policy assignments let you give an individual employee a different leave policy from the one their department uses, without changing anyone else’s entitlement. Manage them from Organization → Users.
How Policy Assignments Work
Employees normally inherit the leave policies of their department. When you assign a policy directly to an employee, that policy replaces the department policy for the same leave type, for the dates you set. Common scenarios:
| Scenario | Example |
|---|---|
| Special contracts | A sick leave policy with more days for an employee on a special contract |
| Remote workers | A policy with a different approval mode |
| Senior staff | An annual leave policy with a larger allowance |
| Temporary cases | A maternity or study leave policy for a fixed period |
First create the policy for the special case on the Policies page (for example "Annual Leave – Senior"), then assign it to the employees who need it.
Assigning a Policy
- Go to Organization → Users and select the employee
- Open the Policies section on their profile
- Select the leave policy to assign
- Set the effective from date and, optionally, an effective to date
- Add a reason (for example “Maternity leave eligibility”)
- Click
Save
Rules
| Rule | What it means |
|---|---|
| One per leave type | An employee can have only one active assigned policy per leave type. Remove the current one before assigning another. |
| Dated | The assignment applies from its start date, and until its end date if you set one. Without an end date it applies indefinitely. |
| Audited | Every assignment and removal is recorded in the audit log with who made it and the reason. |
An assigned policy takes precedence over the department policy for that leave type. The employee sees their effective entitlement on their dashboard.
Effective Entitlements
For each leave type, the policy that applies to an employee is resolved in this order:
Assigned policy (if active) → the employee’s department policy → parent departments, up to the top of the tree
The result is visible on the employee’s profile, so both the employee and HR can see which policy applies.
Review assignments periodically from Organization → Users, and set an end date on temporary assignments so they expire on their own.
